Change to the DEAN Form Process

DEAN Form Process Improved

DECEMBER 13, 2022 – Effective today, the DASA Employee Action Notification (DEAN) form process will change to a more proactive process through an innovative cooperation between DASA Human Resources, Finance, and Technology Services.

DASA Technology will receive an email notification from Human Resources for all planned non-student separations and new hires (including internal transfers) within DASA. This will eliminate the need for supervisors to remember to initiate the DEAN form process. Instead, DASA Technology will kick off the process, and the supervisor identified by HR will receive an email notification to submit only the relevant information for either the onboarding or offboarding process.

The email will come from a new generic email called dasa-zenphi@ncsu.edu and will be sent through the University’s Google Mail instance. As a result, the email will not automatically go to Spam unless you mark it as such upon receipt.

Once you click the link, you will be prompted to log in, as each HR action is explicitly linked to your UnityID Google Account. You will see the Zenphi logo at the top of the Google login screen.

This will kick off several automated procedures behind the scenes using the ZenPhi Business Process Management software to coordinate services between DASA HR, Finance, and Technology Services to serve you better.

In the case of onboarding new employees, you will receive a complete playbook with everything you’ve requested for future reference. This is also used by DASA Technology to support your new hire process.

In the case of an offboard, the spreadsheet you used to have to complete is now filled in when it is automatically sent to you. This will enable everyone to take quicker action on all new hires and planned separations.

In the case of sensitive separations, DASA HR, Finance, and Technology Services will continue to use the current process, which does not involve the DEAN form, to ensure confidentiality for everyone involved.
